This role is pivotal in governing vendor resource access, optimizing operational workflows, and ensuring compliance, directly contributing to the efficiency and success of product quality and vendor management initiatives. You will be at the heart of ensuring our external partners have the right access, the right support, and operate within the right frameworks, driving continuous improvement and operational excellence.
** This is a 6 month contract, UK (Remote – must have rights to work in the UK), £35.10 p/h PAYE – £38.94 p/h PAYE**
**What You’ll Do**
* Coordinate the onboarding and offboarding of external vendor resources on proprietary tools and corporate systems, ensuring compliance with company policies.
* Maintain and manage comprehensive databases of approved and active vendor resources, including periodic systems access renewals and modifications.
* Prioritize and track issues affecting vendor resource tooling access, developing and implementing vendor-specific permission rule sets.
* Stay current with evolving company policies and training applicable to external partners through internal collaboration and discussion groups.
* Coordinate and facilitate business review meetings (QBR & MBR) with external partners and internal stakeholders.
* Ensure external partners understand assignments, adhere to timelines, and deliver correctly and on schedule.
* Utilize productivity suite tools to create surveys, compile results, and develop presentations for key stakeholders.
* Establish and maintain a system for recording outcomes and tracking follow-up actions from reviews and initiatives.
* Implement process modifications based on identified action items and follow-ups.
* Collaborate effectively with internal cross-functional teams, including Program Management, Product Quality and Experience, and Engineering, to achieve shared objectives.
* Support the preparation of various reports related to headcount, purchase tracking, budget transfers, and cost savings.
* Facilitate the creation of Purchase Requests/Orders and resolve any related issues.
* Ensure compliance of vendor invoices, overseeing their checking, approval, and tracking.
* Maintain updated vendor cost sheets.
* Identify, improve, and optimize internal and external end-to-end processes and workflows related to vendor onboarding, resource management, and budget transfers, maintaining thorough documentation.
* Create and update ‘how-to’ guides for internal knowledge bases, reflecting new or improved processes.
* Work with internal tooling teams to document issues and propose improvements to vendor tooling infrastructure.
* Document and address lessons learned from past issues to foster continuous improvement.
* Ensure standardized file formats and folder structures are maintained across all documentation.
**What You’ll Bring**
* Strong experience in vendor and/or project management.
* Strong background in financial management, including budgeting, forecasting, and financial analysis.
* Bachelor’s degree in a relevant discipline.
* Advanced proficiency in spreadsheet management software, leveraging these tools for data-driven decision-making and accurate business reporting.
* Proficient in database management (online and offline types).
* Strong attention to detail, capable of analyzing processes for improvement and creating accurate, comprehensive documentation.
* Self-motivated with strong problem-solving skills.
* Excellent organization and planning abilities.
* Strong verbal and written communication skills.
* Ability to prioritize, escalate, and solve problems efficiently.
* Familiarity with common office productivity suites.
* Ability to communicate clearly and efficiently.
* Ability to stay focused under pressure, prioritizing and managing multiple projects simultaneously in a fast-paced environment.
