AI Transparency Notice

Aquent uses artificial intelligence (AI) to enhance our recruitment processes. This notice explains how we use AI, the data involved, and your rights regarding this processing.

How We Use AI

We use AI in several areas, including:

  • Summarizing interviews and job requirements: Aquent uses AI tools to generate summaries of talent interview calls and job intake calls to gain deeper insights into our candidates and the needs of our clients.
  • Automated Drafting of communications: AI assists Aquent in generating candidate pitches for our Clients and outreach/job interest messages to our talent and candidates. 
  • Generating interview questions: AI helps Aquent create pre-interview questions for candidates to answer during the online application process.
  • Parsing resumes: Aquent uses an AI tool to extract relevant professional information from talent resumes like education history, work history, skills and experience, and contact information.
  • Automated candidate searches: Aquent uses AI to optimize candidate searches by finding the right skills and experience required for the specific job. This includes suggesting required skills, experiences (such as industries, brands, clients, projects), and other terms that candidates might include on their resumes.
  • Automated Scoring of talent and Applicants: Aquent uses AI to compare talent data against job requirements to generate a suitability score for a given role. We standardize such input data and generate suitability scores for our recruiters to review and use as part of their evaluation of talent pools. 

Data Used

The AI systems use the following types of data:

  • Resumes/CVs
  • Client Job descriptions
  • Talent/Candidate Interview call transcripts
  • Client Order intake call transcripts
  • Talent/Candidate responses to interview questions

Purpose of Processing

AI processing helps us to:

  • Match talent with suitable job opportunities.
  • Streamline communication with candidates and clients.
  • Improve the efficiency of our recruitment processes.

Lawful Processing Basis

Aquent’s lawful processing basis for using AI to process Talent and Client information is our Legitimate Interest. 

Your Rights

  • Right to Object and Opt-Outs: You have the right to object to our processing of your personal data based on legitimate interests, including AI-driven processes:
    • Aquent offers the following Opt-Outs to specific AI processing:
      • Automated transcription of Client and Talent Calls and AI Summarization – If you wish to not have your call transcribed and summarized by AI, please inform the Aquent employee hosting the call. 
      • Responses to AI-generated pre-interview questions – These questions are shown to direct job applicants who apply to Aquent roles posted online. You have the option to refuse to answer these questions. By selecting “I'll do this later” you can bypass responding to the interview question and as a result, no responses will be stored and your responses will not be ingested by our other AI processes. 
    • Right to Object to other AI Processing: AI is an integral part of our recruiting workflow and we are unable to offer an alternative method of processing over certain processing activities. In the event you wish to object to certain aspects of our AI processing, Aquent will be unable to move forward with any pending job applications and will be unable to deliver our services to you. As a result, objections to the following types of AI processing will result in a cessation of Aquent services and deletion of your personal data from our systems:
      • Automated drafting of communications
      • Automated generation of interview questions
      • Automated resume parsing 
      • Automated candidate searches
      • Automated Scoring of talent and candidates
