Job Title: Administrative Business Partner, Ads Marketing

Responsibilities:
Under the direction of the Manager, the Administrative Business Partner will undertake various core administrative and program management tasks, including but not limited to:

Calendar Management:
- Schedule, maintain, and update calendar events for the supported executive or team, considering time zone differences and optimizing for short- and long-term planning.
- Resolve scheduling conflicts and respond to meeting requests.
- Make recommendations to support leadership time allocation with respect to calendar and travel.

Expense Reports:
- Execute expense management activities on behalf of executives, including reviewing and processing invoices, expense reports, and purchase orders.

Facilities Coordination:
- Assess and advocate for office space needs, manage requests for space accommodations, and liaise with internal partners

Meeting Coordination:
- Prepare meetings for the executive or team, ensuring correct meeting room setup, compiling meeting materials, and assisting with note-taking.

Program Management:
- Plan and organize internal and external programs and events, managing event logistics and ensuring compliance with policies and procedures.
- Contribute to projects or programs and execute events with some guidance.

Travel Management:
- Coordinate travel for executives and teams, including pre-travel preparation and post-travel documentation.
- Remain on-call to respond to executive’s urgent requests during travel.
Skills/Experience/Education:
Mandatory:
- Calendar Management: Ability to use calendaring tools and techniques effectively.
- Core Administrative: Ability to perform core administrative duties.
- Managing Confidentiality: Ability to recognize and manage highly confidential information.
- Relationship Building: Ability to build trusting relationships with stakeholders.
- Travel Management: Knowledge of travel planning resources and processes.
- Writing: Ability to create clear and concise content for various audiences.
