Are you a highly organized and proactive administrative professional ready to make an immediate and significant impact? We are seeking a talented individual to step into a crucial support role, ensuring seamless operations for senior leadership during a critical period. Your expertise will be vital in maintaining continuity, managing complex schedules, and enabling our Directors to focus on strategic initiatives without interruption. This is an exciting opportunity to provide essential support and contribute directly to the efficiency and success of key leadership within a thriving global enterprise.
This temporary position is designed to backfill an extended leave, providing essential administrative support to 1-2 Directors. You will be the cornerstone of their daily operations, expertly navigating complex schedules and administrative tasks, directly impacting their ability to drive important projects forward.
**What You’ll Do:**
* **Masterful Calendar Management (70% of role):** Proactively manage and optimize complex, high-volume calendars for 1-2 Directors with extensive meeting schedules, often across multiple time zones.
* **Strategic Scheduling:** Coordinate meetings with internal and external stakeholders, exercising sound judgment to prioritize requests and resolve scheduling conflicts efficiently.
* **Operational Continuity:** Manage multiple simultaneous scheduling requests with competing deadlines, proactively identifying and resolving conflicts based on critical business priorities.
* **Comprehensive Administrative Support:** Schedule and coordinate meetings using established templates, accurately process and reconcile expense reports, and arrange domestic and international travel.
* **Event Coordination:** Collaborate with team members to plan and execute large-scale events and off-sites, ensuring flawless execution.
* **Confidentiality & Discretion:** Handle sensitive information and communications with the utmost discretion and professionalism.
**Your Impact:**
You will play a critical role in bridging operational gaps, ensuring that two Directors receive uninterrupted administrative support. Your meticulous organization and proactive approach will directly enable them to maintain their focus on strategic objectives, contributing significantly to the overall productivity and success of the team during this important transitional period.

* **Experience:** Solid experience as an Executive Assistant supporting senior leadership.
* **Calendar Expertise:** Proven track record managing calendars for executives with high meeting volumes, demonstrating exceptional judgment in prioritization and conflict resolution.
* **Organizational Prowess:** Strong prioritization skills, meticulous attention to detail, and the ability to make sound judgments in ambiguous situations.
* **Multitasking & Adaptability:** Ability to multitask effectively and manage multiple competing requests simultaneously, thriving in a fast-paced environment.
* **Communication:** Professional communication skills, both written and verbal, capable of interacting with stakeholders at all levels.
* **Technical Proficiency:** Proficiency with Microsoft Outlook, various calendar management tools, and expense reporting systems.
* **Professionalism:** High degree of professionalism and executive presence, maintaining composure under pressure and handling last-minute changes with ease.
* **Accountability:** Self-motivated with a strong sense of ownership and accountability for your work.
