Are you a highly-organized, detail-oriented professional with a knack for seamlessly managing executive needs in a dynamic environment? Our client is seeking an experienced Admin Assistant who acts as the operational backbone for their Senior Leadership in Global People. This role is pivotal in ensuring their leaders can focus on strategic initiatives by managing their logistical needs with precision and proactive flair.

 

Responsibilities:

  • Handle comprehensive travel arrangements for senior leaders (Directors+), including flights, hotels, cars, visas, etc.
  • Quickly identify and address any issues during executive travels, ensuring minimal disruption and effective solutions.
  • Manage in-office meetings by aligning agendas, coordinating rooms, assisting with catering, and fulfilling other logistical needs for senior leaders visiting the region.
  • Collaborate with VP+ Executive Assistants to provide robust on-the-ground support during regional visits by VP+ leaders.
  • Efficiently process expense reports and receipts, ensuring accurate and timely financial administration.
  • Serve as the primary contact for executives during their travels, offering support and assistance to ensure seamless experiences.

Qualifications:

  • Prior experience in an administrative assistant role, preferably supporting senior-level executives.
  • Proactive and forward-thinking in managing tasks and anticipating needs.
  • Exceptional ability to multitask and prioritize dynamically in response to changing circumstances.
  • Strong interpersonal and communication skills, capable of engaging professionally with global leaders and executives.
  • High level of confidentiality, discernment, and judgment.
  • Proficient in Microsoft Office applications (Word, Outlook, PowerPoint), Zoom, Concur, BOX, and adept with travel booking and expense management platforms.
  • Familiarity with international travel regulations and restrictions is highly desirable.
