We are seeking an experienced and highly organised Administrative Business Partner to provide comprehensive support to three Directors across different business units. This is a fast-paced and high-impact role requiring exceptional judgement, discretion, and the ability to manage competing priorities with confidence and professionalism. The successful candidate will act as a trusted partner, ensuring smooth day-to-day operations and enabling senior leaders to focus on strategic priorities.

Key Responsibilities

Calendar & Time Management

  • Proactively manage complex and dynamic calendars across multiple time zones
  • Prioritise meetings and resolve scheduling conflicts with sound judgement
  • Coordinate internal and external stakeholder meetings

Travel Coordination

  • Arrange domestic and international travel, including flights, accommodation, ground transport, and visas where required
  • Prepare detailed travel itineraries
  • Manage last-minute changes efficiently and calmly

Expense Management

  • Oversee end-to-end expense processing and reconciliation
  • Ensure compliance with internal policies and procedures
  • Track budgets and support financial reporting where necessary

Event & Logistical Support

  • Provide logistical coordination for small to medium-scale events, including team meetings, offsites, and leadership sessions
  • Liaise with venues, vendors, and internal stakeholders
  • Support event planning from concept through to execution

Stakeholder & Administrative Support

  • Build strong working relationships across teams and business units
  • Handle confidential information with discretion
  • Support ad hoc administrative projects and operational initiatives

Required Experience & Skills

  • Minimum of five years’ relevant professional experience in an administrative, executive support, or business partner role
  • Experience supporting senior leadership in a fast-paced, global organisation
  • Ideally experience in big tech
  • Exceptional organisational and time-management skills
  • Strong written and verbal communication skills
  • High attention to detail and accuracy
  • Ability to work independently while managing multiple priorities
  • Proficiency with standard office and collaboration tools
